Get customer signatures on jobs, invoices, and estimates, and request reviews after completion

Overview

BlueClerk lets you collect digital signatures from customers on jobs, invoices, and estimates - perfect for confirming work approval or completion. After completing a job, you can also send a Google review request via SMS to help build your online reputation.

Digital Signatures

Requesting a Signature

From any job, invoice, or estimate:

  1. Open the record you want signed
  2. Click "Request Signature"
  3. Select who should sign: Choose a customer contact
  4. Add a message (optional)
  5. Send the request

How Customers Sign

Customers receive an email or SMS with a secure signing link:

  1. Click the link in the notification
  2. Review the details (job, invoice, or estimate)
  3. Sign on the canvas with mouse or finger
  4. Submit signature
  5. You're notified immediately when signed

Signature Status

On jobs, invoices, and estimates, you'll see:

  • Not Requested - No signature requested yet
  • Pending - Request sent, waiting for signature
  • Signed - Customer has signed with timestamp
  • View Signature - Click to see the signed document

Public Signing Page

The signing page (/sign/[token]):

  • Works on any device
  • No login required for customers
  • Secure one-time-use token
  • Shows all job/invoice/estimate details
  • Canvas drawing tool for signatures
  • Automatically marks as signed when submitted

Review Requests

After Job Completion

When you complete a job, you can request a Google review:

  1. Complete the job with job report
  2. A review request banner appears (if Google Review URL is configured)
  3. Click "Send Review Request"
  4. Customer receives an SMS with a link to your Google Business review page

Setting Up Reviews

To enable review requests:

  1. Go to Settings > Company Profile
  2. Add your Google Review URL:
    • Find your Google Business Profile
    • Copy the review link
    • Paste into "Google Review URL" field
  3. Save settings

Your Google review URL looks like: https://g.page/r/YOUR_BUSINESS_ID/review

SMS Notifications

Review requests are sent via SMS if:

  • Customer has a phone number on file
  • Your company has SMS configured
  • Google Review URL is set in settings

Customer Invites

Pre-filled Signup Links

When requesting signatures or sending job details, customers who don't have BlueClerk accounts can be invited:

  1. System generates a unique invite link (/join/[token])
  2. Customer details are pre-filled (name, email)
  3. Customer creates a password and claims the account
  4. They gain access to their job history and can view/pay invoices

Invite Flow

  • Token-based security - One-time use invite links
  • Pre-filled forms - Name and email already populated
  • Instant access - After signup, customers see their jobs and invoices
  • Expires after claim - Links can't be reused

Job Completion Features

SMS Notifications

Customers receive automatic SMS updates when:

  • Job scheduled - Confirms appointment date and time
  • Tech on the way - Worker clicks "I'm On My Way" button
  • Job complete - Work is finished with link to job report

GPS Features

When completing jobs, you can:

  • Add GPS-tagged photos - Location automatically captured
  • Worker sends ETA - "I'm On My Way" calculates GPS-based arrival time
  • View photo locations - See where each photo was taken on a map

Before/After Photos

Document your work with before/after comparisons:

  1. Tag photos as Before or After when uploading
  2. Pair photos together for side-by-side comparison
  3. View comparison in job reports and invoices
  4. Annotate photos with arrows, text, and markup

Photo Annotations

Edit photos with built-in annotation tools:

  • Draw arrows - Point out specific areas
  • Add text - Label parts or explain issues
  • Highlight areas - Circle or mark important details
  • Freehand drawing - Sketch on the photo
  • Save annotated version - Original remains unchanged

Tips

  • Request signatures before starting major work to confirm scope
  • Get completion signatures as proof of customer satisfaction
  • Send review requests immediately after job completion for best response rates
  • Use before/after photos in estimates and invoices to show your work quality
  • Enable GPS tagging on photos for documentation and customer transparency

Questions

Q: Can customers sign without creating an account? A: Yes. The signing page works with just the secure token link - no login required. However, they'll be invited to create an account for future access to their job history.

Q: What happens if a customer doesn't have a phone number for SMS? A: SMS notifications (job updates and review requests) will be skipped. Make sure to collect phone numbers during customer setup.

Q: Can I see who signed and when? A: Yes. The signature status shows the signer's name and timestamp. Click "View Signature" to see the full signed document.

Q: Where is the Google Review URL setting? A: Go to Settings > Company Profile and scroll to "Google Review URL". Paste your Google Business review link there.

Q: Do review requests cost extra? A: No. SMS review requests use your existing SMS notification system (no additional charge within your plan limits).

Overview

Job reports are the permanent record of work completed. When you finish a job, the report captures what was done, with photos and notes that become part of the property's history. Good job reports protect you, inform customers, and build your reputation.

Creating a Job Report

When Completing a Job

  1. Mark the job "Complete" from job details or schedule
  2. Add photos of the work performed
  3. Write notes describing what was done
  4. Add line items (optional) - for invoicing later
  5. Submit the report

  • Specific repairs or installations
  • Problem areas discovered
  • Materials used
  • GPS-tagged photos with location data
  • Before/after photo pairs for comparison

Photo Features

GPS-Tagged Photos

When uploading photos, BlueClerk automatically captures:

  • GPS coordinates from photo EXIF data
  • Browser location as fallback if EXIF not available
  • Location badge on each photo showing GPS status
  • View on map - Click to see photo location on map

Before/After Comparisons

Create professional before/after documentation:

  1. Upload photos to the job report
  2. Tag photos as "Before" or "After"
  3. Pair them together using "Pair Before/After" button
  4. View side-by-side comparison in job reports and invoices
