Creating Invoices from Job Reports

Prefill invoices with completed work details from job reports

Overview

When you complete a job with a job report, you can create an invoice directly from that report. BlueClerk automatically prefills the customer, property, line items, and notes - saving you time and ensuring accuracy.

How It Works

From a Job Report

  1. Complete a job with a job report
  2. Click "Create Invoice" from the job report
  3. Review prefilled data:
    • Customer information
    • Property address
    • Line items from the job report
    • Notes from the job
    • Quantities and descriptions
  4. Adjust as needed - edit quantities, prices, or tax settings
  5. Add items from your catalog if needed
  6. Save and send to the customer

What Gets Prefilled

Bill-To Information:

  • Customer name, phone, and email
  • Property address
  • Subdivision (if applicable)
  • Contact details

Line Items:

  • Items listed in the job report
  • Quantities used
  • Descriptions of work performed
  • Default pricing from your item catalog

Other Details:

  • Notes from the job report
  • Current date as invoice date
  • Default payment terms

Item Catalog Integration

Searchable Items

As you add or edit line items:

  • Search your catalog - type to filter active items
  • Select an item - name, price, and tax settings prefill
  • Adjust quantities - change amounts as needed
  • Override prices - modify unit prices if needed

Adding Custom Items

If the work isn't in your catalog:

  • Type a custom item name
  • Enter the price manually
  • Set tax status
  • Add a description

Editing Before Sending

Adjust Line Items

  • Change quantities - if job report quantities need updating
  • Modify prices - adjust for actual work performed
  • Toggle tax - mark items taxable or non-taxable
  • Add descriptions - provide detail for the customer

Bill-To Changes

  • Change customer - if invoicing someone different
  • Update contact info - if details have changed

Payment Terms

  • Set due date - when payment is expected
  • Choose terms - Due on Receipt, Net 15, Net 30, etc.
  • Add PO number - if customer provided one

  • Review quantities - Job reports track materials used, but verify before invoicing
  • Add markup - Adjust catalog prices if your invoice pricing differs
  • Include photos - Job report photos help justify charges
  • Itemize clearly - Break down work so customers understand charges

Q: Can I create an invoice without a job report?
A: Yes. Go to Invoicing > Create Invoice to start from scratch. You can also create invoices from tickets.

Q: What if I need to invoice for multiple jobs?
A: Create the invoice from one job report, then manually add line items from other jobs.

Q: Do job report notes appear on the invoice?
A: Yes, they prefill the notes field. You can edit them before sending.

Q: Can I save an invoice as a draft?
A: Yes. The invoice saves automatically and shows a "Draft" status until you send it.
