Understand BlueClerk's subscription pricing, payment, and AI credit usage
Overview
BlueClerk offers tiered pricing based on your monthly job volume. All plans include unlimited users, full features, and $3/month in AI credits. Your first 30 days are free, and payments are automatically processed via Stripe. You can manage your subscription, update payment methods, and view invoices anytime through the billing portal.

When Payment Starts
- 30-day free trial - No credit card required to start
- Automatic billing begins after trial ends
- Monthly billing cycle - Same day each month
- Prorated charges if you upgrade mid-cycle
Auto-Upgrade on Job Limit
If you exceed your tier's job limit, BlueClerk automatically upgrades you to the next tier:
- Instant upgrade when you go over your limit
- Prorated billing - You only pay for the remaining days in your billing cycle at the new rate
- Email notification sent when auto-upgrade occurs
- No service interruption - Your team keeps working without downtime
Example: If you're on Starter (200 jobs) and create your 201st job on day 15 of your billing cycle, you'll be automatically upgraded to Pro ($69/month) and charged a prorated amount for the remaining 15 days.
Manual Downgrades
You can downgrade to a lower tier at any time:
- Takes effect at end of current billing cycle - No immediate change to your access
- No refund for current month - You keep your current tier features until the cycle ends
- Plan your usage - Make sure you won't exceed the lower tier's job limit when the downgrade takes effect
To downgrade:
- Go to Settings > Billing
- Click "Change Plan"
- Select a lower tier
- Confirm downgrade
- Downgrade processes at end of billing cycle
How Plan Changes Work
Upgrading
- Immediate access to new tier features
- Prorated charge for the upgrade (only pay for remaining days in cycle)
- Next bill will be the full amount of the new tier
Downgrading
- No immediate change - Keep current features until cycle ends
- Takes effect on your next billing date
- No refund for current month
- Warning if over limit - System alerts you if your current job count exceeds the new tier's limit
Auto-Upgrade vs Manual Upgrade
- Auto-upgrade: Triggered automatically when you exceed your job limit
- Manual upgrade: You choose to upgrade before hitting your limit (same proration applies)
Managing Your Subscription
Update Payment Method
- Go to Settings > Billing
- Click "Manage Billing"
- Update card in the Stripe portal
- Changes save automatically
View Invoices
- Go to Settings > Billing
- Click "Billing History"
- Download any invoice as PDF
Cancel Subscription
- Go to Settings > Billing
- Click "Cancel Subscription"
- Confirm cancellation
- Access continues until end of billing period
AI Credits
Every plan includes $3/month in AI credits for:
- Smart Estimator takeoffs
- AI-powered support chat
- Voice command processing
- Job report analysis
How Credits Work
- Resets monthly on your billing date
- Additional credits available for purchase
- Usage tracking visible in Settings > Billing
- Rollover: Unused credits don't carry over to next month
Questions
Q: What happens if I exceed my job limit? A: BlueClerk automatically upgrades you to the next tier with prorated billing and sends you an email notification. There's no service interruption.
Q: Can I downgrade my plan? A: Yes, downgrades take effect at the end of your current billing cycle. You won't receive a refund for the current month, but you'll keep your current tier's features until the cycle ends.
Q: What counts as a "job"? A: A job is a scheduled visit to perform work. Creating a ticket doesn't count - only scheduling a job from that ticket counts toward your monthly limit.
Q: Do I get a refund if I upgrade mid-cycle? A: You don't pay twice - upgrades are prorated. You only pay the difference between your old and new tier for the remaining days in your billing cycle.
Q: What if I cancel mid-month? A: You keep access until the end of your current billing period. No refund is issued for partial months.
Q: Can I change plans multiple times? A: Yes, you can upgrade anytime (instant, prorated) or downgrade (takes effect end of cycle). Auto-upgrades happen automatically when you exceed limits.
