Overview
Estimator Reference Docs are platform-level guides that teach the Smart Estimator AI how to analyze construction plans for different trades. BlueClerk provides pre-built guides for 10 trades (insulation, HVAC, plumbing, electrical, roofing, framing, drywall, concrete, painting, flooring) plus universal estimating rules. These guides are managed by admins and apply to all Smart Estimator takeoffs across the platform.
What Reference Docs Do
When you run a Smart Estimator takeoff, the AI automatically loads:
- The trade guide for your selected trade (e.g., insulation, HVAC)
- Universal estimating rules that apply to all trades
These guides help the AI:
- Identify materials correctly in plans
- Apply proper waste factors
- Use correct measurement units
- Follow trade-specific best practices
- Generate accurate quantity takeoffs
How It Works
Automatic Injection
You don't need to do anything - reference docs are automatically included:
- Select your trade when creating a Smart Estimator takeoff
- Upload your plans and describe the scope
- The AI loads the relevant guide for your trade automatically
- Analyze runs with trade-specific knowledge included
What's Included
Each trade guide covers:
- Common materials and assemblies
- Measurement methods (SF, LF, EA, etc.)
- Typical waste percentages
- Coverage rates and units
- Trade-specific considerations
Universal rules include:
- General estimating principles
- Documentation requirements
- Verification steps
- Common pitfalls to avoid
Admin Management
Platform admins can edit reference docs at /admin/estimator/reference-docs:
- Update trade-specific guidance as industry practices evolve
- Add new trades or material types
- Refine AI instructions for better accuracy
- Track version history of changes

- Reference docs improve over time - as admins refine guides, your takeoffs get more accurate
- Trade selection matters - choosing the correct trade ensures you get the right guide
- Multi-trade projects - if your project spans multiple trades, run separate takeoffs for each trade to get trade-specific guidance

Q: Can I customize reference docs for my company? A: Not yet - reference docs are platform-level and apply to all contractors. Future versions may support company-specific customization.
Q: Which trades have reference docs? A: Currently: insulation, HVAC, plumbing, electrical, roofing, framing, drywall, concrete, painting, and flooring. More trades will be added based on demand.
Q: Do reference docs affect my custom assemblies? A: No - reference docs guide the AI's analysis, while custom assemblies are your company's specific pricing. Both work together during takeoffs.
Q: Can I see what's in a trade guide? A: Currently only admins can view and edit guides. If you have suggestions for improvements, contact support.
