Assigning Tickets to Subcontractors

Assign tickets to subcontractors on your roster so they can schedule and complete work, plus delegate to their own crew members

Overview

When you have work that a subcontractor should handle, assign the ticket to them directly. They'll see the assigned ticket in their mobile or web app, can schedule it as a job, and complete the work - while the customer, invoice, and payment all stay under your company account. Both the subcontractor and your admins receive automatic notifications when tickets are assigned or scheduled.

Subcontractors with paid contractor company plans can now delegate jobs to their own crew members, creating a multi-tier dispatch workflow.

How It Works

Assigning a Ticket

  1. Open the ticket you want to assign
  2. Click "Assign to sub" (or "Reassign sub" if already assigned)
  3. Select a subcontractor from your roster dropdown
  4. Click "Save"
  5. The subcontractor receives notifications:
    • In-app notification - Shows in their notification list
    • Email notification - Sent to their registered email
  6. Admins receive notifications - Your GC company admins are also notified of the assignment

What Happens Next

Once assigned, the subcontractor can:

  • View the ticket in their Pending Tickets section (My Jobs page)
  • See all details - Customer, property, description, photos, and due date
  • Schedule the job by picking a date and time
  • Contact the customer directly via tappable phone/email icons
  • Delegate to crew members if they have a paid contractor company plan (see below)

When the subcontractor schedules:

  • A job is created and assigned to them
  • You're notified automatically - In-app and email alerts
  • The ticket status updates to reflect the scheduled job
  • The subcontractor can complete the work and submit a job report

Multi-Tier Delegation (Paid Plan Feature)

How Crew Delegation Works

If the assigned subcontractor has a paid contractor company plan with crew members:

  1. They open the job in their My Jobs list
  2. They click "Delegate to crew member" button
  3. They select a crew member from their company roster
  4. The crew member receives notifications (in-app + email)
  5. Your GC admins also receive notifications that the job was delegated
  6. The crew member sees the job in their own My Jobs list
  7. The crew member can complete it just like any assigned job

Requirements for Delegation

  • Subcontractor must have a paid plan - Free individual contractors cannot delegate
  • Crew members must exist - At least one team member added to the sub's company
  • Validation enforced - Subs can only delegate to users in their own company (prevents assigning random users)

What Free Subs See

If the subcontractor is on a free individual contractor plan:

  • No delegation button - The feature is hidden entirely
  • They complete the work themselves - Standard workflow unchanged
  • No crew management needed - Free tier still works perfectly for receiving dispatched jobs

Plan Model Summary

  • Phoenix (free individual): Receives dispatched jobs from you ✓, cannot delegate ✗
  • Phoenix (paid company with crew): Receives dispatched jobs ✓, can delegate to Bob ✓
  • Bob (crew member): Sees delegated jobs in My Jobs ✓, completes work ✓

Notifications

Who Gets Notified

When you assign a ticket to a subcontractor:

  • The subcontractor receives in-app + email notification
  • Your GC company admins receive in-app + email notification

When a subcontractor schedules the job:

  • Your GC company admins receive in-app + email notification
  • The subcontractor sees the job move to their active jobs list

When a subcontractor delegates to their crew:

  • The crew member (Bob) receives in-app + email notification
  • Your GC company admins receive in-app + email notification

Notification Content

Notifications include:

  • Ticket number and description
  • Customer name and contact info
  • Property address with map link
  • Due date (if set)
  • Direct link to view the ticket or job

Viewing Assigned Work

For Subcontractors

Assigned tickets appear in the Pending Tickets section at the top of My Jobs:

  • Ticket number and dispatching contractor name
  • Customer contact info with tappable phone/email buttons
  • Property address with map pin icon
  • Description preview and photos
  • "Schedule Job" button to set a date/time

Once scheduled, the job appears in the main My Jobs list with:

  • Job number and customer name
  • Scheduled date and time
  • Property address and description
  • Status (Scheduled, In Progress, Completed)

For Crew Members (Delegated Jobs)

If Bob receives a delegated job from Phoenix:

  • Job appears in Bob's My Jobs list alongside his directly-assigned work
  • Bob can open the job and see all details (customer, property, scope)
  • Bob can complete the job and submit a job report normally
  • Payment stays with your GC company - Phoenix doesn't handle invoicing

For GC Admins

On the ticket list and job list, you'll see:

  • "Assigned" column shows the subcontractor name (e.g., "Phoenix Pro Works SUB")
  • Delegated jobs show: "Phoenix Pro Works SUB / → Bob Smith"
  • Color-coded status badges for quick visibility
  • Filter by subcontractor to see all their assigned work

Tips

  • Assign early - Give subcontractors advance notice so they can plan their schedule
  • Use descriptions - Clear ticket descriptions help subs understand what's needed before scheduling
  • Track completion - Monitor when subs schedule and complete work via notifications
  • Review job reports - After completion, check the sub's job report and photos
  • Paid plans enable delegation - Encourage subs with crews to upgrade for multi-tier dispatch

Questions

Q: Can I assign a ticket to multiple subcontractors? A: No, each ticket can only be assigned to one subcontractor at a time. If you need multiple subs for different parts of the work, create separate tickets.

Q: What if the subcontractor doesn't have a BlueClerk account? A: The subcontractor must have a BlueClerk contractor account before you can assign tickets to them. They can sign up for free at blueclerk.com.

Q: Can I reassign a ticket to a different subcontractor? A: Yes, click "Reassign sub" on the ticket and select a different subcontractor. The original sub will no longer see the ticket, and the new sub will be notified.

Q: Can subcontractors delegate to anyone? A: No - subs can only delegate to crew members in their own contractor company. This prevents accidental or malicious assignment to random users. Free individual contractors cannot delegate at all.

Q: What happens if a sub delegates a job to Bob, then Bob quits? A: The job remains assigned to Bob in the system. The sub should reassign the job to another crew member before Bob's account is deactivated.

Q: Can crew members delegate to other crew members? A: Not currently - only the original assigned subcontractor can delegate. The crew member (Bob) cannot re-delegate to another person.

Q: Does delegation cost extra AI credits? A: No - delegation is a workflow feature, not an AI feature. It uses standard database operations and notifications.
