Generate AI-personalized outreach emails for leads and send them via AWS SES
Overview
The Marketing Outreach dialog lets you select leads from your marketing leads table, generate AI-personalized cold emails for each one, review and edit them individually, and send via AWS SES. Each email is customized by company name, contact name (first name extracted), trade, and city - making outreach feel personal at scale. You can include a link to your marketing site in outreach emails to provide more context about BlueClerk.
NEW: Lead Qualification Filtering - BlueClerk now automatically filters out non-field-service companies before sending outreach emails. When selecting Apollo-sourced leads, the system checks company names, websites, and keywords against a disqualification list (IT services, software, consulting, staffing, legal, accounting, etc.) and only allows emails to be sent to companies that match field service terms like contractor, plumbing, HVAC, electrical, roofing, etc. This prevents wasted outreach to irrelevant businesses and improves response rates.
How It Works
Selecting Leads
- Go to Admin > Marketing > Leads
- Check the boxes next to leads you want to contact
- Click "Outreach" button to open the dialog
- Only leads with email addresses can be selected
- Apollo leads are filtered - Non-field-service companies are automatically excluded
Lead Qualification
For Apollo-sourced leads, BlueClerk checks:
- Company name and website - Scans for disqualifying terms (software, IT, consulting, etc.)
- Trade keywords - Verifies the lead matches field service trades
- Automatic filtering - Unqualified leads are removed before email generation
Leads from other sources (manual entry, referrals) are not filtered.
Preview Screen
After selecting leads, the preview screen shows:
- Total selected - Count of qualified leads ready for outreach
- Lead cards - Company name, contact info, trade, city
- Generate button - Click to create personalized emails for all selected leads
Generating Emails
- Click "Generate Emails" button
- AI processes each lead - Creates custom email for each company
- Progress indicator shows how many emails have been generated
- Review screen opens when all emails are ready
Review & Edit Screen
Before sending, you can:
- Review each email - See subject line and body text
- Edit any email - Click to modify subject or body
- Remove leads - Uncheck any lead you don't want to contact
- Include marketing link - Toggle to add "Learn more at [your-site]" footer
- Send all at once - Click "Send All" when ready
Sending Emails
When you click "Send All":
- Emails are sent via AWS SES to each lead
- Lead status updates to "contacted"
- emailsSent counter increments for tracking
- Unsubscribe footer added automatically
- Success confirmation shows how many were sent
Best Practices
Before Sending
- Review each email - Personalization works best when you verify details
- Edit generic sections - Add specific details about your services
- Check contact names - Ensure names are correct (AI extracts first names automatically)
- Remove bad leads - Uncheck any that don't feel right
Email Content
- Keep it short - 3-4 sentences max
- Lead with value - What problem does BlueClerk solve for them?
- Include CTA - Clear next step (reply, book demo, visit site)
- Add marketing link - Helps leads learn more about BlueClerk
After Sending
- Track responses - Check your inbox for replies
- Update lead status - Mark as "qualified" or "not interested" based on responses
- Follow up - Respond quickly to interested leads
Troubleshooting
"No leads selected": Check boxes next to leads before clicking Outreach
"Email generation failed": Try selecting fewer leads at once (max 50 recommended)
"Send failed": Check AWS SES configuration and ensure you're verified to send
Apollo leads excluded: The lead didn't pass field service qualification - check company name/website for non-contractor terms
