Assigning Tickets

Assign tickets and jobs to team members or subcontractors, plus add additional crew members and receive automatic notifications

Overview

Assigning work ensures the right people handle each job. BlueClerk lets you assign tickets and jobs to your team members or subcontractors on your roster, and now you can add additional crew members to help on a job beyond the primary assignee. The primary assignee remains unchanged - additional crew is tracked separately. When you assign a ticket to a subcontractor, both you and the subcontractor receive automatic notifications via email. When a subcontractor accepts and schedules the work, you receive another notification with the customer name, job type, and a description snippet so you stay informed about the job's progress.

Who Can Be Assigned Work?

Team Members

Team members are employees who are part of your company:

  • They have user accounts in BlueClerk
  • They can see their assigned work on their dashboard
  • They can update job status and add photos

Subcontractors

Subcontractors are external workers or companies you hire:

  • They must be on your roster first
  • They receive email notifications when assigned
  • Work stays under your company account
  • You receive notifications when they schedule work

Assigning a Ticket

From the Ticket Detail Page

  1. Open the ticket you want to assign
  2. Find the "Assigned To" section
  3. Click the assignee dropdown
  4. Choose assignment type:
    • Team Member - Assign to someone on your team
    • Subcontractor - Assign to a sub on your roster
  5. Select the person from the dropdown
  6. Click "Save"

What Happens After Assignment

When you assign a ticket to a team member:

  • They see it on their dashboard immediately
  • They can schedule the work as a job
  • They receive a notification (if enabled)

When you assign a ticket to a subcontractor:

  • You receive a confirmation email that the assignment was sent
  • The subcontractor receives an email notification with the work details
  • They see it in their Pending Tickets section
  • They can schedule it and complete the work
  • You receive another notification when they schedule the work, including:
    • Customer name
    • Job type/description snippet
    • Scheduled date and time

Adding Additional Crew Members

For jobs that need extra hands beyond the primary assignee:

  1. Open the job detail modal
  2. Scroll to "Additional Crew" section
  3. Click "Add Crew Member"
  4. Select team members from your roster
  5. Save the job

How Additional Crew Works

  • Primary assignee stays the same - doesn't change when you add crew
  • Crew members can see the job and update status
  • Tracked separately from primary assignment
  • Great for larger jobs needing multiple people

Reassigning Work

Changing Assignment

If you need to assign a ticket or job to someone else:

  1. Open the ticket or job
  2. Click the current assignee
  3. Select a new person from the dropdown
  4. Click "Save"

The work is now reassigned - the original assignee no longer sees it, and the new assignee receives notification.

Viewing Assigned Work

As a Team Member

  1. Go to your dashboard or My Jobs page
  2. See all work assigned to you grouped by status
  3. Click any job to view details or update status

As a Subcontractor

  1. Log in to BlueClerk
  2. Go to "My Jobs"
  3. See "Pending Tickets" section with work assigned to you
  4. Schedule or view jobs as needed

Assignment Notifications

For Subcontractors

When a ticket is assigned to a subcontractor:

  • Subcontractor receives: Email with ticket details, customer info, and due date
  • You receive: Confirmation that the assignment was sent successfully

When a subcontractor schedules the work:

  • You receive: Email with customer name, job type, scheduled date/time, and description snippet

For Team Members

Team members receive in-app notifications when assigned work (email notifications optional based on their settings).

Tips

  • Assign early - Give your team or subs time to prepare
  • Use additional crew for larger jobs needing multiple people
  • Reassign if needed - Don't hesitate to change assignments if someone's schedule changes
  • Check notifications to stay informed about subcontractor scheduling
  • Keep subs updated - Good communication builds better relationships

Q: Can I assign multiple people to one ticket?
A: Yes - assign a primary person and add additional crew members separately.

Q: What if I assign to the wrong person?
A: Just reassign - select the correct person and save. The work moves immediately.

Q: Do subcontractors need a BlueClerk account?
A: Yes - they must be registered on BlueClerk and on your roster before you can assign work to them.

Q: Can I see all work assigned to a specific person?
A: Yes - go to Operations > Jobs or Tickets and filter by assignee.

Q: Will I know when a subcontractor schedules work I assigned?
A: Yes - you receive an automatic email notification with the customer name, job type, and scheduled date/time when they schedule the work.
