Assign tickets and jobs to team members or subcontractors, plus add additional crew members

Overview

Assigning work ensures the right people handle each job. BlueClerk lets you assign tickets and jobs to your team members or subcontractors on your roster, and now you can add additional crew members to help on a job beyond the primary assignee. The primary assignee remains unchanged - additional crew is tracked separately.

Who Can Be Assigned Work?

Team Members

Team members are employees who are part of your company:

  • They have user accounts in BlueClerk
  • They can see their assigned work on their dashboard
  • They can update job status and add photos

Subcontractors

Subcontractors are independent contractors on your roster:

  • They may or may not have BlueClerk accounts
  • They receive notifications when assigned work
  • If they have accounts, they can manage jobs just like team members

Assigning a Ticket or Job

From the Ticket or Job Detail Page

  1. Open the ticket or job you want to assign
  2. Click "Assign" or the assignment dropdown
  3. Select a team member or subcontractor from the list
  4. Save - The assignee is notified automatically

What Happens When You Assign

  • Team members see the work on their dashboard immediately
  • Subcontractors receive an email or SMS notification (if configured)
  • The ticket/job status may update to "Assigned" automatically
  • You can reassign anytime if plans change

Viewing Assigned Work

For Assignees

Team members and subcontractors can see their assigned work:

  1. Log in to BlueClerk
  2. Go to "My Jobs" or "My Tickets"
  3. See only work assigned to you (unless you're an admin)

For Admins and Dispatchers

Admins and dispatchers can see all work and filter by assignee:

  1. Go to the Jobs or Tickets list
  2. Use the assignee filter to see work by person
  3. Monitor workload across your team

Adding Additional Crew Members

Sometimes a job needs more than one person. You can add additional crew members to help on a job beyond the primary assignee.

How to Add Crew

  1. Open the job you want to add crew to
  2. Scroll to the "Additional Crew" section
  3. Click "Add Crew Member"
  4. Select a team member from the dropdown
  5. Save - The crew member is added to the job

How Additional Crew Works

  • Primary assignee stays the same - The original person assigned to the job remains the primary assignee
  • Additional crew is tracked separately - Crew members are listed in their own section
  • Crew members can see the job - Added crew members see the job on their dashboard
  • Remove crew anytime - Click the X next to a crew member to remove them

What Additional Crew Can See

When you add someone as additional crew:

  • They see the job on their "My Jobs" page
  • They can view job details including customer, property, and work description
  • They can add photos and notes to the job report
  • They cannot reassign the job - Only the primary assignee or admins can reassign

Tips

  • Assign early - Assign work as soon as you know who should handle it
  • Use team members for visibility - If someone needs to track progress in BlueClerk, make them a team member
  • Use subcontractors for external help - If you're outsourcing work, assign to subcontractors
  • Reassign if needed - Plans change - reassign work to keep things accurate
  • Add crew for bigger jobs - Use additional crew when a job needs multiple people without changing the primary assignee

Questions

Q: Can I assign a ticket to multiple people at once? A: You can assign one primary person to a ticket or job, but you can add additional crew members to jobs to include multiple people. The primary assignee remains responsible for the work, while crew members help complete it.

Q: What if the person I want to assign isn't in the list? A: Add them as a team member or subcontractor first in Settings > Team. Once they're on your roster, you can assign them work.

Q: Can subcontractors reassign work to others? A: No - only admins and dispatchers can reassign tickets and jobs. Subcontractors can complete their assigned work but can't pass it to someone else.

Q: Do crew members get paid separately? A: BlueClerk tracks who worked on each job through the additional crew list, but payment and invoicing are separate features. Use this information to calculate payroll or splits as needed.

Q: Can I remove additional crew after adding them? A: Yes - click the X next to a crew member's name in the Additional Crew section to remove them from the job. This doesn't affect the primary assignee.
