Assign tickets and jobs to team members or subcontractors

Overview

Assigning work ensures the right person handles each job. BlueClerk lets you assign tickets and jobs to your team members or subcontractors on your roster, making it clear who's responsible for what.

Who Can Be Assigned Work?

Team Members

Team members are employees who are part of your company:

  • They have user accounts in BlueClerk
  • They can see their assigned work on their dashboard
  • They can update job status and add photos

Subcontractors

Subcontractors are individual contractors you work with:

  • Added to your "Workforce Roster"
  • Can be assigned jobs like team members
  • May have their own BlueClerk profile

Assigning Jobs

When Creating a Job

  1. Click "Schedule Job" from a ticket
  2. Fill in the scheduling details
  3. In the "Assigned To" field, select:
    • A team member from your company
    • A subcontractor from your roster
  4. Save the job

Changing Assignment

  1. Open the job
  2. Click on the assigned person or "Reassign"
  3. Select a new assignee
  4. Save the change

The new assignee will be notified of the assignment.

Unassigned Jobs

Jobs can exist without an assignee:

  • Useful when you know the work needs to happen but not who will do it
  • Shows as "Unassigned" in job lists
  • Can be assigned later as schedule clarifies

Assignment Workflow

For Admins/Dispatchers

  1. Create tickets from customer requests
  2. Schedule jobs with dates and times
  3. Assign to team members based on:
    • Availability
    • Skills/trade
    • Location
    • Workload
  4. Monitor progress through status updates

For Assigned Team Members

  1. View assigned jobs on your dashboard
  2. See job details: customer, property, scope
  3. Update status: Start job, add notes, complete
  4. File job reports with photos

Viewing Assignments

My Assigned Jobs

Team members see their assignments:

  1. Dashboard: Shows upcoming jobs assigned to you
  2. Jobs page: Filter to "My Jobs" to see all assignments
  3. Calendar view: Visual schedule of assigned work

All Assignments (Admin View)

Admins can see everyone's assignments:

  1. Jobs page: View all jobs with assignee column
  2. Filter by assignee: See one person's workload
  3. Schedule view: Overview of team capacity

Notifications

When work is assigned:

  • Assignee gets notified: Email/in-app notification
  • Job appears on their dashboard: Easy to see
  • Changes notify the assignee: Reassignments and updates

Assignment Best Practices

Consider When Assigning

  • Skills: Does this person have the required expertise?
  • Capacity: How many other jobs do they have?
  • Location: Is this job near their other work?
  • Relationship: Have they worked with this customer before?

Team Visibility

Keep your team informed:

  • Assign work as soon as it's scheduled
  • Add notes about customer preferences
  • Include contact information
  • Note any special access requirements

Tips

  • Assign jobs early to help team members plan
  • Use notes to include important context
  • Consider travel time between jobs
  • Review workload balance regularly
  • Get feedback on assignment fairness

Common Questions

Q: Can I assign multiple people to one job? A: Currently, jobs have one primary assignee. For team jobs, assign to the lead and note other team members.

Q: What if the assignee can't do the job? A: Reassign to another team member or contact dispatch for rescheduling.

Q: Can team members reassign their own jobs? A: Depends on your company settings. Typically, only admins can reassign, but members can request reassignment.

Q: How do I add someone to assign work to? A: Add team members in Settings > Team, or add subcontractors in Settings > Workforce Roster.
