Punch List PDF Export

Overview

Export complete punch list reports as professional PDFs for contractors, homeowners, or internal records. The system generates PDFs asynchronously in the background, allowing you to continue working while the report is prepared. You'll be notified when your PDF is ready to download.

How to Export a Punch List PDF

From Property Detail Page

1. Open a property from Builder > Properties
2. Go to the "Punch List" tab
3. Click "Export PDF" button
4. Wait for generation - A progress indicator shows the PDF is being created
5. Download when ready - The button updates to "Download PDF" when complete

What's Included in the PDF

Your punch list PDF includes:

• Cover page with builder name, property address, and generation date
• Summary statistics - Total items, open count, fixed count, verified count, critical count
• Detailed item list organized by room and severity:
  • Item number and description
  • Room and location
  • Severity level (Critical, Standard, Cosmetic)
  • Status (Open, Assigned, In Progress, Fixed, Verified)
  • Assigned contractor
  • Due date if set
  • Creation and last update dates

How It Works

Asynchronous Generation

Punch list PDFs are generated in the background to avoid blocking your work:

1. Click "Export PDF" - Creates a PDF job request
2. Background processing - Vercel serverless function builds the PDF (up to 60 seconds)
3. Progress polling - BlueClerk checks every 3 seconds for completion
4. Automatic notification - Button updates when PDF is ready
5. Secure storage - PDF is stored in Vercel Blob storage for download

PDF Job Status

You can track PDF generation status:

• Pending - PDF generation has started
• Completed - PDF is ready to download
• Failed - Generation encountered an error (contact support)

Tips

• Large punch lists may take 30-60 seconds to generate - be patient
• PDFs expire after 30 days from Vercel Blob storage - download important reports promptly
• Critical items appear first in the PDF, followed by Standard and Cosmetic items
• Items are grouped by room for easy contractor reference

Questions

Q: Can I export punch lists for multiple properties at once? A: Not currently - PDFs are generated one property at a time. Export each property separately.

Q: What happens if PDF generation fails? A: You'll see an error message. Try again, and if it persists, contact support with the property ID.

Q: Can I customize what appears in the PDF? A: The PDF format is standardized currently. Contact support if you need custom fields or layouts.

Q: Do PDFs include photos from punch items? A: Not in the current version - PDFs show item details and descriptions only.
