Export Smart Estimator takeoffs as Excel spreadsheets or PDF reports

Overview

After generating a Smart Estimator takeoff, you can download professional Excel spreadsheets or branded PDF reports. These formatted reports include all line items grouped by category, material assumptions, and important verification warnings - perfect for sharing with customers or using for bidding.

Downloading Reports

Naming Your Report

Before downloading, you can customize the filename:

  1. Complete a Smart Estimator takeoff (see Smart Estimator guide)
  2. In the filename field, type your desired name (defaults to plan name)
  3. Click "Download Excel" or "Download PDF"**
  4. The file downloads with your custom name

Filename tips:

  • Use descriptive names like "Smith-Kitchen-Remodel" or "Oak-Ridge-Lot-42"
  • Special characters are automatically removed
  • File extension (.xlsx or .pdf) is added automatically

Excel Reports

What's included:

  • Header section with plan name, trade, square footage, and date
  • Line items table grouped by category (Framing, Fasteners, etc.)
  • Quantity and unit for each material
  • Notes column for special details
  • Assumptions section listing what the AI assumed
  • Verify Before Bidding warnings highlighting critical items to double-check

How to use it:

  • Open in Excel, Google Sheets, or Numbers
  • Adjust quantities based on field verification
  • Add pricing columns for your estimates
  • Share with customers or suppliers

PDF Reports

What's included:

  • Professional header with plan name, trade, and stats
  • Line items table with categories, descriptions, quantities, units, and notes
  • Assumptions section
  • Verification warnings
  • Footer: "Generated with BlueClerk"

How to use it:

  • Share with customers for scope review
  • Print for job site reference
  • Email to subcontractors or suppliers
  • Archive in project files

  • Verify quantities - AI-generated takeoffs should always be field-verified before bidding
  • Pay attention to warnings - The AI flags items that need extra attention
  • Save multiple versions - Download at different stages as scope evolves
  • Use descriptive names - Include project identifier, lot number, or customer name in filename

Q: Can I edit the Excel file after downloading? A: Yes! Open it in any spreadsheet program and adjust quantities, add pricing columns, or modify as needed.

Q: Are the PDFs branded with my company logo? A: PDFs include your plan name and trade in the header. The footer says "Generated with BlueClerk."

Q: How accurate are the quantities? A: AI takeoffs are estimates based on visible plans. Always verify quantities on site before finalizing bids. Pay special attention to items in the "Verify Before Bidding" section.

Q: Can I download the same takeoff multiple times? A: Yes, download as many times as you need. You can also change the filename each time for different versions.

Q: What if I need a different format? A: Currently Excel (.xlsx) and PDF are supported. You can open the Excel file and save it in other formats like CSV if needed.
