Managing Contractor Leads
Track and manage sales leads through your pipeline with review workflow, status management, badge counts, and inline edit dialog

Overview
Contractor leads help you track potential customers from first contact through to winning (or losing) the sale. BlueClerk's lead management system organizes prospects in a simple pipeline: New → Contacted → Qualified → Won/Lost. You can review leads in detail, update their information, and change their status - all from a convenient dialog that opens directly on the leads list page.
NEW: Lead Badge Counts - The leads navigation item in the sidebar now shows a count of NEW leads so you can see at a glance how many prospects need follow-up. The sidebar count updates automatically whenever leads are created or status changes occur, helping you stay on top of your pipeline without opening the leads page.
Accessing Leads
- Click "Operations" in the sidebar
- Select "Leads" from the flyout menu
- View your leads list with status, contact info, and source
- See NEW lead count in the sidebar badge (e.g., "Leads (5)")
Understanding Lead Statuses
New
First contact - leads you haven't reached out to yet. These could come from voice commands, manual entry, referrals, or your website. The sidebar badge shows how many leads are in this status.
Contacted
You've reached out but haven't fully qualified them yet. They might be thinking it over, waiting for a quote, or you're playing phone tag.
Qualified
They're serious prospects - they have the budget, need your services, and are ready to move forward. Not every contacted lead becomes qualified.
Won
You got the job! When you mark a lead as Won, BlueClerk prompts you to convert them to a customer so you can create tickets and invoices.
Lost
They chose someone else, decided not to move forward, or you couldn't reach them. Tracking lost leads helps you understand your conversion rates.
Reviewing and Editing Leads
Opening the Review Dialog
- Click any lead row in the leads list
- The review dialog opens with full lead details
- Edit any field - name, phone, email, address, notes, etc.
- Change status using the status dropdown
- Click "Save" to update the lead
What You Can Edit
- Name - Contact name
- Phone - Contact phone number
- Email - Contact email address
- Address - Job site or contact address
- Customer Type - Homeowner, Business, or Builder
- Status - New, Contacted, Qualified, Won, or Lost
- Source - Where the lead came from
- Notes - Any additional information
- Estimated Value - Potential project value
Converting Won Leads to Customers
When you mark a lead as Won:
- Save the status change in the review dialog
- BlueClerk prompts "Convert to customer?"
- Click "Yes" to create a customer record
- Lead data auto-fills the customer form
- Complete any additional fields and save
Filtering Leads
Use the status filter at the top of the leads list:
- All - Show every lead regardless of status
- New - Only leads you haven't contacted yet
- Contacted - Leads you've reached out to
- Qualified - Serious prospects
- Won - Successfully converted leads
- Lost - Leads that didn't convert
Lead Statistics
The leads page shows summary stats at the top:
- Total Leads - All leads across all statuses
- New - Leads needing follow-up (also shown in sidebar badge)
- Contacted - Leads in progress
- Qualified - Hot prospects
- Win Rate - Percentage of qualified leads that became customers
Tips
- Follow up on NEW leads quickly - Check the sidebar badge count daily
- Keep notes updated - Document every conversation and next steps
- Track lost reasons - Understanding why you lose helps improve your close rate
- Use estimated value - Helps prioritize which leads to focus on first
- Convert wins immediately - Don't let won leads sit without creating the customer record
Questions
Q: What happens to the lead after I convert it to a customer? A: The lead record stays in your system with status "Won" for tracking purposes. The new customer record is created separately, and you can now create tickets and invoices for them.
Q: Can I delete leads? A: Currently, leads cannot be deleted from the UI. You can mark them as "Lost" if they're no longer relevant. Contact support if you need leads removed from your account.
Q: How do I add leads manually? A: Use the "Add Lead" button at the top of the leads list, or use voice commands to quickly capture lead information hands-free.
Q: Why don't I see a NEW lead count in my sidebar? A: The count only appears when you have leads with status "NEW". Once all leads are contacted or marked with another status, the badge disappears to keep your sidebar clean.
