Add photos to estimate line items from a reusable company photo library

Overview

The Photo Library lets you build a company-wide image collection that can be reused across estimates and invoices. Add photos to individual line items to show customers exactly what materials or work you're proposing - perfect for visualizing upgrades, material options, or equipment choices.

How It Works

Company Photo Library

All photos you upload are saved to your company's library for future reuse:

  • Upload once, use everywhere - Photos are available across all estimates
  • Auto-resized - Full images resized to 1200px max, thumbnails at 300px
  • Organized by category - Tag photos by room, trade, or material type (optional)
  • Searchable - Find photos quickly by filename or description

Adding Photos to Line Items

  1. Open an estimate you're creating or editing
  2. Find the line item you want to add a photo to
  3. Click the "Photo" button (camera icon or dashed border) on that row
  4. Photo picker opens showing your library
  5. Choose an existing photo or click "Upload New"
  6. Photo appears as thumbnail next to the line item
  7. Click thumbnail to change photo or X button to remove

Uploading Photos

From the Photo Picker

When adding a photo to a line item:

  1. Click "Upload New" in the picker dialog
  2. Select an image from your device (max 20MB)
  3. BlueClerk automatically resizes and optimizes the image
  4. Photo is saved to your library and applied to the line item

Supported Formats

  • JPEG, PNG, WebP
  • Max file size: 20MB
  • Auto-converted to JPEG for optimal size

Managing Your Library

Viewing All Photos

  1. Open any estimate
  2. Click "Photo" on any line item to open the picker
  3. Browse your entire library sorted by newest first
  4. Search by filename to find specific images

Removing Photos from Line Items

  • Hover over the photo thumbnail on the line item row
  • Click the X button that appears
  • Photo is removed from line item but stays in your library

Tips

  • Take photos of materials at suppliers to build your library ahead of time
  • Use descriptive filenames when uploading - makes searching easier later
  • Add photos to high-value line items to help customers visualize premium options
  • Reuse photos across estimates - upload once, use for every similar job

Questions

Q: Do photos appear on the estimate PDF sent to customers? A: Yes - line item photos appear inline on estimate PDFs, helping customers see exactly what they're approving.

Q: Can I delete photos from my library? A: Not yet - the current version keeps all uploaded photos in your library. If a photo is no longer needed, simply don't use it on future line items.

Q: Are photos synced to QuickBooks or other accounting software? A: No - photos are specific to BlueClerk estimates and don't sync to external accounting systems.

Q: Can I organize photos into folders? A: You can add an optional category tag when uploading (currently stored but not filterable in UI). Full categorization and filtering coming in a future update.
