Send personalized thank you emails when customers reach job milestones or anniversaries

Overview

Customer thank you emails help you celebrate milestones with your customers - 5 jobs, 10 jobs, 25 jobs, 50 jobs, or 1-year anniversaries. BlueClerk tracks these milestones automatically and notifies you when a customer qualifies, so you can send a branded, personalized thank you message that strengthens your relationship.

How It Works

Automatic Milestone Detection

Every Monday at 9am UTC, BlueClerk checks all your customers for milestones:

  • Job milestones: 5, 10, 25, or 50 completed jobs
  • Anniversary milestone: 1 year since their first job with you

When a customer reaches a milestone, you'll receive an in-app notification with a link to review and send a thank you email.

You're Always in Control

BlueClerk never auto-sends thank you emails. You review each one, edit the message if you want, and click send when you're ready.

Viewing Customer Relationship Stats

From the Customer Detail Page

  1. Open a customer from your customers list
  2. Scroll to "Relationship Stats" section
  3. See key metrics:
    • Total jobs completed together
    • Customer since date (first job or when added)
    • Next milestone they're approaching
    • Thank you history - past emails you've sent

Sending a Thank You Email

From a Milestone Notification

  1. Check your notifications (bell icon in header)
  2. Click the milestone notification - "🎉 [Customer Name] — [X] jobs!"
  3. Review the pre-filled message - BlueClerk suggests a message based on the milestone
  4. Edit the message if you want to personalize it further
  5. Preview how it will look - your logo and company name appear automatically
  6. Click "Send Thank You Email"

From the Customer Detail Page

You can also send thank you emails manually anytime:

  1. Open a customer detail page
  2. Go to "Relationship Stats" section
  3. Click "Send Thank You"
  4. Select a milestone (5 jobs, 10 jobs, 1 year, etc.) or choose "Custom"
  5. Review and edit the message
  6. Send

What the Email Includes

Every thank you email is branded with your company:

  • Your company logo (if uploaded in settings)
  • Milestone badge - "🎉 We've reached 10 jobs together!"
  • Personal message - Default message or your edited version
  • Sign-off - "— The [Your Company Name] Team"

Default Messages

BlueClerk provides thoughtful default messages for each milestone:

  • 5 jobs: "Thank you for trusting us with your 5th job! We truly appreciate your continued business and look forward to many more projects together."
  • 10 jobs: "10 jobs together — that's a real milestone! Thank you for being such a loyal customer. Your trust in our work means the world to us."
  • 25 jobs: "25 jobs! We're honored to be your go-to team. Thank you for the incredible loyalty — here's to many more years working together."
  • 50 jobs: "50 jobs together is something special. Thank you for being an amazing customer. We wouldn't be where we are without partners like you."
  • 1 year: "It's been a year since we started working together! Thank you for your trust and loyalty. We look forward to many more years serving you."

You can edit these messages before sending or write your own from scratch.

Thank You History

BlueClerk tracks every thank you email you send:

  • Prevents duplicates - Won't suggest sending the same milestone twice
  • Shows send history - See when you sent each email in the customer's relationship stats
  • Tracks which milestones - Know which milestones you've already celebrated

Tips

  • Personalize messages - Add a specific detail about their project or property to make it more meaningful
  • Send promptly - When you get a milestone notification, send the thank you within a day or two while the milestone is fresh
  • Use anniversaries - 1-year anniversaries are a great excuse to reconnect with customers you haven't worked with recently
  • Check stats regularly - Review customer relationship stats to identify loyal customers worth celebrating

Questions

Q: Will customers get duplicate thank you emails if I send one manually and BlueClerk detects the milestone?

A: No. BlueClerk tracks every thank you email sent and won't create duplicate notifications for the same milestone.

Q: Can I customize the default messages for each milestone?

A: The default messages are platform-wide, but you can always edit the message before sending each email to match your voice and style.

Q: What happens if a customer doesn't have an email address?

A: The thank you email feature only works if the customer has an email on file. Make sure customer email addresses are entered when you add them to BlueClerk.

Q: Can I turn off milestone notifications?

A: Not currently, but since BlueClerk never auto-sends, you can simply ignore notifications for customers you don't want to send thank yous to.

Q: Does the weekly cron check customers from all my team members' work?

A: Yes. The cron checks all customers associated with your company, regardless of which team member completed the jobs.
