Apollo Lead Import

Import contractor leads from Apollo.io with email verification and automatic enrichment

Overview

The Apollo Lead Import feature automatically imports contractor leads from Apollo.io into your BlueClerk marketing database. Select target states, set import counts, and let the system fetch verified email contacts for contractors in your target trades - all with automatic deduplication and enrichment.

How It Works

Automatic Import via Cron

The system runs daily imports automatically:

  1. Cron triggers at 6am UTC Monday-Friday
  2. Imports 75 leads from Texas by default
  3. Targets all 10 trades (plumbing, electrical, HVAC, roofing, etc.)
  4. Verifies email addresses - Only imports contacts with verified emails
  5. Deduplicates - Skips leads that already exist in your database

Manual Import

Admins can trigger imports manually:

  1. Go to Admin > Marketing > Leads
  2. Click "Import from Apollo" button
  3. Configure options:
    • Target count: How many leads to import (default: 75)
    • States: Which states to target (default: Texas)
  4. Click "Start Import"
  5. Wait for completion - Typically 30-60 seconds for 75 leads

What Gets Imported

Lead Data Fields

Each Apollo lead includes:

  • Company name - Business name from Apollo
  • Contact name - First and last name of the contact person
  • Contact email - Verified email address
  • Phone - Business phone number (if available)
  • Address - Full business address with city, state
  • Website - Company website URL (if available)
  • Trade - Mapped from Apollo job titles (plumber, electrician, HVAC tech, etc.)
  • Source - Always set to "apollo"
  • Enriched - Always true (since Apollo provides verified emails)

Place ID Generation

Since Apollo leads aren't from Google Places, BlueClerk generates deterministic Place IDs:

  • Format: apollo-[hash]
  • Hash: MD5 of company name + email (first 16 chars)
  • Example: apollo-a3f2b1c4d5e6f7g8

This ensures leads can be uniquely identified and deduplicated even without Google Place IDs.

Import Results

After import completes, you'll see:

  • Inserted count - How many new leads were added
  • Processed count - Total contacts checked from Apollo
  • Pages fetched - How many API pages were pulled
  • Credits estimated - Apollo API credits used
  • Errors - Any issues encountered during import

Source Filtering

The leads list includes a Source filter to help you segment leads:

  • View All - Show leads from all sources
  • Apollo - Only Apollo-imported leads (source = "apollo")
  • Google Places - Only Google Places scraped leads (source = "google_places")
  • Web Scraped - Only web-scraped leads (source = "bing" or "yellowpages")

This makes it easy to review and manage leads by acquisition channel.

Tips

  • Verify imports - Check the results summary to ensure expected lead counts
  • Monitor credits - Apollo API has usage limits; watch your credits estimated
  • Filter by source - Use the Source dropdown to review Apollo leads separately
  • Check email quality - Apollo provides verified emails, but always test before bulk outreach

Questions

Q: How often does automatic import run? A: Daily at 6am UTC, Monday through Friday only.

Q: What if a lead already exists? A: The system skips duplicates based on Place ID, so existing leads won't be re-imported.

Q: Can I import from multiple states? A: Yes - when triggering manual import, you can specify multiple states in the configuration.

Q: What trades are supported? A: All 10 BlueClerk trades: plumbing, electrical, HVAC, roofing, painting, flooring, drywall, framing, concrete, and insulation.
