Use voice to add leads, update jobs, send invoices, and look up information

Overview

Voice commands let you manage your business hands-free while driving, on the job site, or when it's inconvenient to type. Simply speak your intent and BlueClerk handles the rest - adding leads, updating job statuses, sending invoices, adding notes, and looking up unpaid invoices.

Available Voice Commands

Add a Lead

Create new contractor leads with contact information:

Example: "Add lead John Smith, phone 555-1234, email john@example.com, address 123 Main Street, note: interested in deck repair"

What you can include:

  • Name (required)
  • Phone number
  • Email address
  • Address
  • Notes about the lead

Update Job Status

Mark jobs as in progress or completed:

Example: "Update job kitchen remodel to completed" or "Mark deck repair as in progress"

What you can do:

  • Change status to "in progress"
  • Change status to "completed"
  • Reference jobs by description or job number

Send an Invoice

Send existing invoices to customers:

Example: "Send invoice 1234" or "Email invoice for Johnson repair"

What you need:

  • Invoice number or description

Add a Note

Attach notes to jobs or customers:

Example: "Add note to Smith job: customer requested morning appointments only"

What you can include:

  • Job or customer reference
  • Note content

Look Up Unpaid Invoices

Find outstanding balances:

Example: "Show unpaid invoices" or "List overdue invoices for Smith"

What you can filter by:

  • All unpaid invoices
  • Specific customer
  • Date range

How to Use Voice Commands

Recording Your Command

  1. Click the microphone icon or voice button in BlueClerk
  2. Allow microphone access if prompted
  3. Speak clearly your command
  4. Review the transcript to ensure accuracy
  5. Confirm or correct the action before it executes

Voice Command Tips

  • Speak naturally - Use conversational language
  • Be specific - Include all relevant details (names, numbers, addresses)
  • Speak clearly - Especially for names and addresses
  • Review before confirming - Always check the transcript for accuracy
  • Use corrections - If a command is misunderstood, correct it to improve future accuracy

Pattern Learning

BlueClerk learns from your corrections to improve voice recognition accuracy over time:

Automatic Pattern Detection

  • Runs nightly - Analyzes the last 7 days of voice submissions
  • Detects repeated corrections - Identifies patterns in how you correct transcripts
  • Auto-creates rules - Generates correction rules for patterns appearing 2+ times
  • Improves accuracy - Future voice commands benefit from learned patterns

Example Pattern Learning

If you frequently say "deck repair" but it transcribes as "tech repair," and you correct it multiple times, BlueClerk will automatically create a rule to fix this pattern in the future.

Q: What happens if the voice command is transcribed incorrectly? A: You can review and correct the transcript before confirming the action. Your corrections help BlueClerk learn and improve accuracy for future commands.

Q: Can I use voice commands on mobile? A: Yes, voice commands work on any device with a microphone and browser that supports speech recognition.

Q: How does BlueClerk know which job or customer I'm referring to? A: BlueClerk searches your records based on the words you say - job descriptions, customer names, invoice numbers, etc. Be as specific as possible for best results.

Q: Are voice commands secure? A: Yes, voice processing uses your device's microphone with your permission, and all data is transmitted securely. Your voice audio is not stored - only the transcript and resulting action.

Q: What if I make a mistake in a voice command? A: You can always review the action before it's executed and cancel or modify it. You can also manually edit or delete any records created by voice commands.
