Job Reports

Document completed work with detailed reports and photos

Overview

Job reports are the permanent record of work completed. When you finish a job, the report captures what was done, with photos and notes that become part of the property's history. Good job reports protect you, inform customers, and build your reputation.

Why Job Reports Matter

For Your Business

  • Proof of work: Documentation if disputes arise
  • Quality tracking: Review work quality over time
  • Training tool: Show new team members expected standards
  • Warranty reference: Know exactly what was done

For Customers

  • Transparency: See exactly what was done with photos
  • Property records: Permanent maintenance history
  • Peace of mind: Documentation for future reference
  • Value: Documented work can increase property value

Creating a Job Report

When Completing a Job

  1. Open the job that's in progress
  2. Click "Complete Job" or "Mark Complete"
  3. Add photos of the work (recommended)
  4. Write completion notes describing what was done
  5. Click "Complete" to finish

The system automatically creates a job report with:

  • Work duration (from start to completion time)
  • All photos uploaded during the job
  • Your completion notes
  • Date and time completed
  • Who completed the work

Viewing Job Reports

From a Completed Job

  1. Open the completed job
  2. The report shows automatically in the job details
  3. See the complete timeline: ticket created → job scheduled → started → completed

Activity Timeline

Job reports now show a complete activity chain of everything that happened:

  • Ticket created - When the work was first requested
  • Ticket edited - Any changes to the work scope
  • Job scheduled - When the visit was planned
  • Job assigned - Who was assigned to do the work
  • Job started - When work began on-site
  • Job completed - When work finished
  • Report created - Final documentation

This gives you and your customers a complete picture of the work from start to finish.

Cross-Entity Activity

The activity log automatically includes related records:

  • When viewing a job, you see the ticket activity that led to it
  • When viewing a job report, you see the complete chain from initial request through completion
  • Each activity entry shows which entity it came from (Ticket, Job, or Report)

What's Included in Reports

Automatic Information

  • Completion timestamp: Exact date and time finished
  • Duration: How long the work took (from start to complete)
  • Assigned worker: Team member or subcontractor who did the work
  • Property details: Location where work was performed
  • Customer information: Who the work was for

Your Added Content

  • Photos: Visual documentation of the work
  • Completion notes: Description of what was done
  • Any challenges: Issues encountered and how resolved

Using Reports for Invoicing

Job reports feed directly into invoicing:

  1. Complete the job with a detailed report
  2. Click "Create Invoice" from the report
  3. Invoice pre-fills with all job details
  4. Review and send to customer

The photos and notes from your report can be included in the invoice, showing customers exactly what they're paying for.

Tips for Great Job Reports

Take Good Photos

  • Before and after shots: Show the transformation
  • Close-ups of details: Highlight quality workmanship
  • Problem areas: Document issues discovered
  • Parts installed: Show new equipment or materials

Write Clear Notes

  • Be specific: "Replaced wax ring and bolts" not "fixed toilet"
  • Mention materials: "Installed Kohler K-12345 faucet"
  • Note discoveries: "Found water damage behind wall, discussed with homeowner"
  • Record decisions: "Homeowner approved additional repair"

Complete Reports Promptly

  • Create the report immediately after finishing while details are fresh
  • Don't wait days - information gets forgotten
  • Prompt reports lead to faster invoicing and payment

Activity Log Details

What Gets Tracked

The activity timeline automatically logs:

  • Status changes: When jobs move between scheduled, in progress, paused, rescheduled, completed
  • Assignments: When work is assigned to team members
  • Related tickets: Changes to the original work request
  • Report creation: When the final documentation is created

Who Can See Activity

  • Your team: Full visibility into all activity
  • Customers: Can see their own job activity and reports
  • Future reference: Activity stays with the property permanently

Questions

Q: Can I edit a report after creating it? A: No, reports are permanent records. If you need to add information, add a note to the job or create a follow-up ticket.

Q: Do customers see my job reports? A: Customers can see reports for work done at their properties, including photos and notes you add.

Q: What if I forget to take photos? A: You can add photos while the job is in progress. Once completed, the report locks - so add photos before marking complete.

Q: Can I see activity from the original ticket when viewing a job? A: Yes! The activity timeline automatically shows related ticket activity, giving you the complete history from initial request through job completion.

Q: Why does the activity log show different entity types? A: BlueClerk tracks activity across tickets, jobs, and reports. The entity label (Ticket, Job, Report) helps you understand where each activity happened in the workflow.
