RingCentral — Connect Texts & Calls

Connect a RingCentral phone line to send/receive SMS and log calls in BlueClerk

Overview

BlueClerk can connect to RingCentral so your company can send and receive SMS (including MMS attachments) and import call activity into the app. After connecting, messages and calls appear in the Phone Inbox and Calls views so your team can triage conversations and link activity to customers.

How To

  1. Go to Settings → Integrations → Phone (or Contractor Company → Integrations) and open the Phone / RingCentral card.
  2. Click Connect, choose the offered RingCentral provider, and follow the OAuth authorization flow (only company admins can complete this).
  3. After successful authorization you’ll see connection status, connected extension name, and the list of phone numbers available for SMS.
  4. Use the Phone Inbox or Calls pages to view and search SMS and call logs, open conversations, and send replies.
  5. To send SMS: open Messages, compose a message, and send — SMS messages support multimedia attachments (MMS) where your RingCentral number and account permit.
  6. To disconnect: open the RingCentral integration in Settings and click Disconnect — this revokes stored credentials and removes the integration from your company.

What to Expect

  • Connection is admin-only: only company admins can connect or disconnect RingCentral.
  • Messages and calls are synced to BlueClerk automatically. The platform runs background syncs and may queue high-volume accounts; sync progress and last errors are visible on the integration status panel.
  • When downloading MMS attachments, files are proxied and validated by BlueClerk (only https attachments from RingCentral media hosts are allowed). Attachments are served as downloads to avoid rendering provider-supplied HTML or SVG in the browser.
  • If RingCentral revokes or refresh tokens expire, the integration will show a "needs reconnect" state and incoming syncs stop until you reconnect.

Limits & Validation

  • SMS send length: messages should be 1–1,000 characters (longer content may be split or rejected by the provider). The API also enforces an overall request size limit.
  • Attachment types supported: common image (JPEG/PNG) and PDF attachments. BlueClerk validates attachment URLs and blocks unsupported addresses to prevent SSRF.
  • Only provider-returned media on the authenticated extension is allowed — user-supplied URLs are not proxied.

Troubleshooting

  • "RingCentral could not connect": try the Connect flow again. Make sure you complete the provider's OAuth prompt and that the browser you used matches the one started by the Connect flow (the integration uses a short-lived browser token during setup).
  • "Needs reconnect" or expired refresh token: reconnect via the integration page. If you disconnect, stored tokens are revoked and removed from the database.
  • Missing messages or call rows: check integration Status in Settings to verify last sync time and any errors. High-volume accounts may be rate-limited and processed by background sync jobs.
  • Attachment download fails: attachments are validated against RingCentral media hosts and must use HTTPS with a valid path. If an attachment fails to load, try reconnecting or ask your RingCentral admin to verify media access for the connected extension.

Tips

  • Only connect RingCentral from a secure browser and while signed in as a company admin.
  • If you need to migrate numbers or rotate credentials, disconnect first and then re-connect to avoid duplicate integration records.
  • Use the Integration Status panel to monitor last sync time, last error, and whether auto-sync is pending.

Questions

Q: Who can connect RingCentral to my company account?
A: Only company administrators can start and finish the RingCentral connection.

Q: Can I send MMS (images, PDFs) from BlueClerk?
A: Yes — MMS attachments are supported when the connected RingCentral number and account permit multimedia messaging. Attachments are proxied and validated before download.

Q: What happens when tokens expire or are revoked?
A: BlueClerk marks the integration as needing reconnect. You can Disconnect (which attempts to revoke tokens) and then Connect again from Settings to restore sync.

Q: Where do I view call and message activity?
A: Use the Phone Inbox and Calls pages in the Contractor Company / Operations area to view synced SMS conversations and call logs.
